Who we are

“We” are UCC Students Union,(“UCC SU”).

This Notice applies to UCC SU as the DATA CONTROLLER for the purposes of the General Data Protection Regulation EU2016/679, and the Data Protection Acts 1988 – 2018 .

How we collect your personal data

 

We receive your personal data from UCC Academic Services. It will be used by us only in accordance with the purposes outlined in this notice. We receive your student number, email address, programme of study, and college/faculty of study.

The purpose and legal basis for collecting your data

 

UCC SU collects a variety of different personal data to ensure we fulfil our obligations to represent students and conduct fair and democratic elections and to ensure we meet our objectives

Your  personal data collected via this portal will be used for the purposes of administering the Students’ Union elections. Your student number will give you access to an online voting portal, where you can vote for the candidates of your choice for the SU Executive Committee, express a preference in the referenda, and your course and college of study will be used to determine which College representative you are entitled to vote for. 

Details of third parties with whom we share personal data

 

The UCC SU will share your data with the some third parties where necessary for purposes of the processing outlined above including : Membership Solutions Ltd (MSL), Warwick SUHQ, Gibbet Hill Rd, Coventry, CV4 7AL, United Kingdom.

The data is being shared with MSL for the specific purposes of running the Students’ Union elections online. MSL will have access to the data as reasonably necessary for support purposes on our behalf and are obligated not to disclose or use it for any other purpose.

Cross-border data transfers

 

We disclose your data to  a number of third-party service providers for the above purposes.  This may include transfer of your Data outside of the EU.  Where we transfer your data outside of the EU, we take measures (usually contractual measures) to protect your Data, as provided for by EU law. Where data needs to be transferred or processed outside the EU/EEA, we chose providers who process personal data on the basis of

  •  Standard Contractual Clause (s)(SCC’s)
  • An Adequacy Decision from the European Commission.
  • Technical and Organisational measures where SCCs alone are not sufficient.

How long we will keep your data

 

n keeping with the data protection principles, we will only store your data for as long as is necessary. It is intended to keep the data for six months in the event of a challenge to the electoral outcome.

 

Your rights

As an individual, under EU law you have certain rights to apply to us to provide information or make amendments to how we process your Personal Data. These rights apply in certain circumstances and are set out below: -

The right to access Personal Data relating to you (‘access right’).

The right to rectify/correct Personal Data relating to you (‘right to rectification’).

The right to object to processing of Personal Data relating to you (‘right to object’).

The right to restrict the processing of Personal Data relating to you (‘right to restriction’).

The right to erase/delete Personal Data relating to you (i.e., the ‘right to erasure’).

The right to ‘port’ certain Personal Data relating to you from one organisation to another (‘right to Personal Data portability’).

These rights are not absolute and only apply in certain circumstances. You may exercise any of the above rights by contacting us accompanied by all necessary information via:

If you have any queries in relation to having your name withdrawn from the voting register please contact a member of the Students’ Union on su@ucc.ie or 021 4903218.

If you have any complaints in connection with our processing of your personal data, e-mail to dpo@uccsu.ie.
